They offer top-tier equipment and solutions designed to prevent damage, manage assets, and safeguard lives. Problem statement:
The client, a reputable provider of tools for managing critical infrastructure and utilities, faced a significant challenge.The goal was to automate back-office tasks such as the processing of Purchase orders, Sales orders, and invoices received from various suppliers and customers in different forms.
Solution:
To address the problem of processing a bulk volume of Purchase Orders and Invoices, an Artificial Intelligence-based email processing system was proposed. This AI solution classifies the documents and processes them as per Business Rules when they are available in the email inbox.
The system implements a multi-stage classification to categorize incoming documents based on Vendor, Document Type, and other Meta data. The categories of documents classified, and data extracted include:
Purchase Order (Supplier Order) is an official document from a buyer to a seller detailing the purchase.
Customer Invoice (PO invoice) is a payment request tied to a specific Purchase Order.
Customer Invoice (Non-PO invoice) is a payment request for ad-hoc items or services not linked to a specific order.
Once the data is extracted, it is presented for user approval before further processing. This ensures that the processed data is accurate and aligns with the business requirements.
Additionally, the system is designed to integrate with external entities.
